Privacy Policy

What we collect when you use this site, why we hold it, how long we keep it, and how to ask us to delete it.

We do not sell your personal information, and we do not share it with advertisers. We ask for the minimum needed to answer your question or ship your order.

The short version

If you buy something, we keep the details needed to send it to you and to keep proper business records. If you write to us, we keep your message so we can reply. We run our own analytics on our own server rather than handing your browsing to an advertising network. You can ask us at any time what we hold about you, and ask us to delete it.

Who we are

Veriscents supplies perfumery raw materials, solvents, equipment and educational kits. For the purposes of data protection law, Veriscents is the controller of the personal information described on this page. Our postal address and email are in the Contact us section below.

What we collect

We collect only what the site actually needs to function. Specifically:

We record the IP address attached to contact form submissions for one narrow reason: it lets us rate-limit automated abuse of the form. It is not used to build a profile of you.

Payment details

We do not collect, see or store card numbers. When card payment is enabled on this site it is handled by a third-party payment provider whose systems collect your card details directly. We receive confirmation that a payment succeeded, not the card itself.

Why we use it

  • To fulfil your order — packing, shipping, customer service, and returns. Without your address we cannot send you anything.
  • To reply to you — if you write to us, we need your message and a way to answer it.
  • To meet legal obligations — tax, accounting and, for certain materials, records relating to shipping and chemical safety.
  • To keep the site working and honest — understanding which pages are used, and preventing automated abuse of our forms.

We do not use your information to make automated decisions that produce legal effects, and we do not add you to a marketing list because you placed an order.

Our analytics

We use Matomo, hosted on our own server rather than a third-party advertising platform. Your browsing data is not sold, syndicated, or used to target you elsewhere on the internet.

Analytics do not run until you allow them. On your first visit we ask, and the tracker is not loaded unless you choose to allow it — declining, or simply ignoring the question, means it never loads and no analytics cookies are set. You can change your mind at any time on our cookie preferences page; declining there also clears any analytics cookies already on your device. Withdrawing is as easy as giving.

Fonts

Our pages load typefaces from Google Fonts. Doing so means your browser makes a request to Google's servers, which discloses your IP address to Google as part of serving the font files. We do not send Google any other information about you.

Who we share it with

We share personal information only where it is necessary to run the business:

  • Shipping carriers — your name, address and telephone number, so your parcel can be delivered.
  • Payment providers — to take payment. They collect your card details directly; we do not pass them on because we never hold them.
  • Our hosting provider — which stores the site and its database on our behalf.
  • Authorities — where we are legally required to disclose information, for example in relation to the shipping of regulated materials.

We do not sell personal information, and we do not share it for anyone else's marketing.

How long we keep it

  • Orders — retained for as long as required by tax and accounting rules, which in most jurisdictions is several years from the end of the relevant financial year.
  • Enquiries — kept while the conversation is active and for a reasonable period afterwards, so we have context if you come back to us. Deleted on request.
  • Cart — discarded when your session ends.
  • Wishlist — 90 days, or until you clear your cookies.
  • Analytics — retained in aggregate.

Your rights

Depending on where you live, you may have the right to ask us to:

  • tell you what personal information we hold about you, and give you a copy;
  • correct anything that is wrong;
  • delete what we hold, where we are not required to keep it;
  • restrict or object to how we use it;
  • receive it in a portable format.

If you are in the European Economic Area or the United Kingdom, these rights come from the GDPR and you may also complain to your national data protection authority. If you are a California resident, you have rights under the CCPA as amended, including the right to know, to delete, and to opt out of the sale or sharing of personal information — we do not sell or share it.

Security

The site is served over HTTPS. Administrative access is password-protected, and forms that change data are protected against cross-site request forgery. Our database is stored outside the web-accessible directory. No system is perfectly secure, and we will tell affected customers promptly if a breach occurs that puts their information at risk.

Children

This site sells concentrated aromatic chemicals and laboratory supplies, and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us their details, contact us and we will delete them.

Changes

If we change what we collect or how we use it, we will update this page and change the date at the top. Material changes affecting existing customers will be communicated directly where we hold an address for you.
